1. Who we are

TaxRecon ("we", "us", "our") is a software service that helps CPA firms reconcile Form 1040 tax returns against workpapers using artificial intelligence. You can contact us at taxreconai@gmail.com.

2. What data we collect

We collect the following information when you use TaxRecon:

  • Account information: Your name, email address, and firm name when you create an account.
  • Tax documents: PDF files and images you upload for reconciliation purposes, including Form 1040s and workpapers (W-2s, 1099s, 1098s, K-1s, etc.).
  • Reconciliation results: The structured output generated by our AI analysis, stored as JSON in your firm's workspace.
  • Billing information: Payment processing is handled by Stripe. We do not store your credit card details. We store your Stripe customer ID and subscription status.
  • Usage data: Basic logs of actions taken within the app for debugging and security purposes.

3. How we use your data

  • To provide the reconciliation service — your uploaded documents are sent for AI analysis.
  • To store your reconciliation results so you can review them later.
  • To manage your account and subscription.
  • To communicate with you about your account or service updates.

4. Your client data and AI training

We take the confidentiality of your client tax data seriously:

  • Your client data is never used to train AI models. Documents you upload are processed by AI solely to generate reconciliation results for your use.
  • Each firm's data is isolated — no other firm can access your clients' documents or results.
  • Documents are stored in private, encrypted storage. They are not publicly accessible.
  • We recommend not uploading documents with real Social Security Numbers during beta testing.

5. Third-party services

TaxRecon uses trusted third-party services for hosting, database storage, payment processing, and AI document analysis. These services are bound by their own privacy policies and are selected for their security and reliability standards. We do not sell your data to any third party.

6. Data retention

Uploaded tax documents (PDFs and images) are automatically deleted from our servers immediately after analysis is complete. We do not retain your clients' source documents. Only the reconciliation results (numbers and line items — no SSNs, addresses, or personal identifiers) are stored in your firm's workspace. Account data and reconciliation results are retained for as long as your account is active and deleted within 30 days of account closure upon request. 7. Security

We use industry-standard security measures including encrypted data transmission (HTTPS), private file storage, and firm-level access controls. No method of transmission over the internet is 100% secure. We encourage you to use strong passwords and contact us immediately if you suspect unauthorized access.

You may request access to, correction of, or deletion of your personal data at any time by contacting us at taxreconai@gmail.com.

9. Changes to this policy

We may update this privacy policy from time to time. We will notify you of significant changes by email or by posting a notice on the app.
